How to Recover Deleted Emails in Gmail, Outlook, Yahoo, and Apple Mail

Deleted an important email by mistake? Most providers keep deleted messages for 30 days before permanently removing them. Here is how to find and restore them.

Accidentally deleting an important email is stressful, but there is usually a recovery window. Most email providers hold deleted messages in a Trash or Deleted Items folder for 30 days before permanently erasing them. Act quickly and your chances are good.

Gmail

  1. In the left sidebar, click Trash (you may need to click More to see it).
  2. Find the email. You can use the search bar — just prefix with in:trash (e.g., in:trash invoice from:supplier).
  3. Right-click the email and choose Move to inbox, or open it and click the Move to icon.

Gmail keeps items in Trash for 30 days. After that, recovery through the standard interface is not possible.

Outlook Desktop

  1. Click the Deleted Items folder.
  2. Find your email, right-click it, and choose Move > Inbox (or any folder you prefer).

If the item is not there, it may have been permanently deleted. In Outlook with a Microsoft 365 or Exchange account, you can go one step further: right-click Deleted Items and choose Recover Deleted Items from Server. This shows messages deleted from the Deleted Items folder (the "second-level" recycle bin) within the server's retention window, typically 14–30 days.

Outlook on the Web

  1. Go to Deleted Items in the left pane.
  2. If the email is there, select it and click Restore.
  3. If not, check the Recoverable Items link that appears at the top of the Deleted Items folder — this is the server-side recovery.

Yahoo Mail

  1. Open the Trash folder.
  2. Select the email and click Move to send it back to your inbox.

Yahoo holds items in Trash for 7 days for free accounts — less time than most providers, so act quickly.

Apple Mail (Mac)

Click the Trash mailbox in the sidebar. Right-click the message and choose Move to > Inbox. If using iCloud Mail, the retention window is 30 days.

Frequently asked questions

I emptied the Trash in Gmail. Is the email gone forever?

Once you empty the Trash (or Google empties it after 30 days), the email cannot be recovered through Gmail's standard interface. If it was critical, contact Google Support — they may be able to restore data in limited circumstances, but there is no guarantee.

My email was deleted and it is not in the Trash. Where else could it be?

Check whether an email filter is automatically deleting certain messages (in Gmail: Settings > Filters; in Outlook: Rules). It is also possible someone else with access to your account deleted it, or an IMAP client set to delete rather than archive removed it. Use your email provider's Recoverable Items feature if available.
